How to Check-In Exhibitors at the show

Step 1: From the Admin Dashboard, choose the Check In section.  

Step 2: In the search bar within the Check In section, search for exhibitors by first or last name.  

Note: They have to have started entries in the system to show up as an exhibitor in this section. 

When you click on the exhibitor’s name, all entries associated with that exhibitor’s account will show.  If multiple exhibitors were entered under the same account (ex: siblings), they will all show up here.  


Step 3: Before checking in, be sure to verify that all money due from the exhibitor has been paid.  If an exhibitor owes money, you will see the Balance Due notification in red.  

If there is a balance due, you can direct exhibitors back to their Showman account to make payment, or you can accept manual payments.  If the exhibitor makes a payment in their Showman account, you may have to Refresh Invoice to see the updates on your end. 


You can see a breakdown of the charges by clicking View Invoice

To record a manual payment, click the Record Payment button. 

The following screen will appear and you will be able to enter payment information.

When an exhibitor is paid in full, you will see the All Square! notification in green. 


Step 4: Verify that all entry information is correct, enter animal weight (if applicable), then simply click on the green Check In button for each entry.  

Examples of things to verify before checking an entry in (this will vary by show, depending on the data collected): 

    • Tag/ID Number; 
    • Registration Number and/or Papers;  
    • Animal DOB; 
    • Exhibitor DOB/Age Division for Showmanship


If any information needs to be edited, you may do so before checking the entry in by clicking on the Edit button. 


This will bring up the following screen where you will be able to make any necessary edits to entries: 

When changing breed division, make sure to edit the Entry Details.


Once entries have been checked in, the green Check In button will change to a red and white Undo Check In button. 

If you need to make any edits to entries after they have been checked in, click the Undo Check In button, make any necessary changes, then check them in again. 


Finally, once you have completed the check in process for all entries, you should do a double check by going to the Entries section on the left side of the page, and filtering entries by Entries Entered But Not Checked In.  This will show you any entries that are paid in full, but have not been checked in.  


ONLY ENTRIES THAT HAVE BEEN CHECKED IN WILL SHOW UP IN YOUR SHOW BOOKS
